JOB ROLE:
As an Executive Assistant, you will provide high-level administrative support to the CEO, ensuring smooth and efficient operations. Your role is pivotal in enabling the executive to focus on strategic initiatives by handling routine tasks, streamlining processes, and ensuring effective communication within the team and with external stakeholders. You will be a key player in maintaining organization, enhancing productivity, and supporting the executive in achieving business objectives.
KEY RESPONSIBILITIES:
Communication Support:
- Attend meetings and take detailed notes.
- Follow up with summarized action items and meeting notes after calls.
- Draft and respond to emails, especially basic inquiries.
- Book meetings as needed.
Logistics Coordination:
- Organize hotel accommodations, event tickets, and other logistics.
- Coordinate Teifi Digital events and communicate details to the team.
- Organize sales initiatives and team events.
Email and Text Filtering:
- Pre-filter emails and texts for efficient communication management.
Task & Time Management:
- Implement a task management system (e.g., Asana, Trello) to track tasks and deadlines.
- Help set priorities to focus on high-impact tasks.
- Schedule focused work blocks for key projects to minimize interruptions.
Errands and Additional Support:
- Run errands for the executive team as needed.
- Maintain strict confidentiality and handle sensitive information with the highest level of discretion.
- Continuously seek and identify opportunities to enhance processes, implementing solutions to improve the effectiveness of executive support functions.
- Tackle challenges independently, offering solutions and recommendations, and collaborate with team members to develop and implement effective problem-solving strategies.
- Provide support with documentation creation, Personal brand development, and social media postings for executives.
QUALIFICATIONS:
- Bachelor's degree in Business Administration, Communications, or a related field is preferred.
- Exceptional organizational and time-management skills, with the ability to manage multiple tasks and projects simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with task management tools like Asana or Trello. Familiarity with CRM and ERP systems is a plus.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment.
- Excellent verbal and written communication skills, with the ability to draft professional correspondence and interact effectively with internal and external stakeholders.
- Demonstrated ability to handle sensitive information with the highest level of discretion and maintain confidentiality.
- Must have a valid driver's license and access to a reliable vehicle for occasional travel and errands.
