Description
HR and Office Administrator
The Vancouver Prostate Centre (VPC) has an exceptional opportunity available for a regular, fulltime HR and Office Administrator to join the Vancouver Prostate Centre.
The Vancouver Prostate Centre
VPC has a large, multi-disciplinary research program that undertakes basic, clinic, and translational research. It is a National Centre of Excellence and a designated Centre of Excellence for Commercialization and Research. Position Summary
Reporting to the Human Resources and Administrative Manager and working within a complex and evolving environment. As a member of the VPC support team, which provides structural support to allow the scientific team to focus on the science, the HR and Office Administrator provides human resources, payroll, operations, and general administration support.
Typical Responsibilities
Human Resources:
- Provide full cycle recruitment support to HR and Administrative Manager by creating and posting job ads; screening candidates; conducting interviews and reference checks; and issuing employment contracts.
- Update and maintain records of personnel-related data in the relevant human resources and payroll systems, including converting the current personnel file system from paper to digital.
- Respond to internal and external HR-related inquiries or requests, including providing employment confirmation as required.
- Serve as main point of contact for applicants during the recruitment process.
- Liaise with VCH and UBC central departments as necessary, including Payroll; Records and Benefits; and HR.
- Work with members of the administrative and support team to facilitate orientation and on-boarding processes. Serve as new hire orientation back-up.
- Act as backup Payroll Administrator.
- Assist Payroll Administrator with BioTalent Student Work Placement Program claim submissions.
Administration:
- Creation and timely/accurate distribution of team communications such as VPC Announcements.
- Comprehensive general meeting support as required, including: scheduling; room booking; access; equipment; videoconferencing set-up; catering; agenda/itinerary creation; and meeting minutes.
- Coordination of all special events including annual holiday party and others as required.
- Opens and distributes mail daily.
- Perform additional duties and administrative tasks as assigned.
Operations:
- Manage non-laboratory (office) space allocation.
- Maintains current floor plans.
- Prime point of contact for local courier shipments, drinking water contracts, photocopier/printer service and supplies.
- Assists with facilities maintenance requests as necessary.
- Provides support to Research Facilitator/Project Manager as required for all office moves and renovations.
Supervision Received
Works under general supervision of HR and Administrative Manager. Work is performed in accordance with established procedures and well-defined standards. Job tasks are generally standardized with ability to choose action within limits defined by standard/accepted data, information and procedures. Performs routine duties independently. Organization of work to accomplish goals is expected.
Supervision Given
The HR and Office Administrator is not required to supervise, however may explain work procedures to new or inexperienced staff, including serving as new hire orientation back-up.
Minimum Qualifications and Experience
- Minimum Bachelor’s degree or diploma in related field.
- Minimum of one-year relevant work experience, ideally in an academic/scientific/research or related environment.
- Ability to obtain and maintain required certifications mandatory.
- Capable of performing physical demands of role.
- Demonstrated ability to abide by all relevant legislation/policies and handle confidential information with necessary tact and discretion.
- Demonstrated attention to detail.
- Demonstrated initiative and follow-up skills.
- Proven ability to multi-task and adapt to shifting priorities.
- Demonstrated customer service skills.
- Computer literate with proven proficiency using Microsoft Office suite.
- Excellent verbal communication skills in a variety of context: in person, on the phone, on-line, plus solid written communication skills in order to produce legible, concise and accurate business correspondence. Demonstrated experience communicating concepts in a professional manner required.
- Demonstrated ability to work both independently and effectively as part of a team.
- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.
- Ability to use a personal cell phone for multi-factor authentication (MFA) for accessing work accounts. This is essential for maintaining the security and integrity of our research data and systems.
Compensation
Salary range for this position is $47,064 to $61,771 per annum. Benefits include paid vacation, extended health and dental, and pension. Initial salary placement will be between $47,064 to $54,417 per annum. Salary will be commensurate with qualifications and experience.
