Position: Administrative Assistant
Start date: February 2025
Location: Arnprior, ON
Salary: $22-25/hr
Duration: Full Time (40 hours per week)
Benefits: Includes 2 weeks vacation, LTD, and extended health coverage after 3 months.
Responsible to: Assistants Coordinator
Position Summary
The Administrative Assistant is a member of the office and administration team, responsible for the administration of HR files, on-boarding, entry/update of HR data for all employees, scheduling, and assisting with payroll. Other tasks include various administrative duties that help support the Leadership Team. The Administrative Assistant works in partnership with the Assistants Coordinator and other Coordinators to ensure scheduling of required training, completion of required employee documentation, and that policies and government standards in the homes and programs are provided and properly administered. The Administrative Assistant may participate in Leadership, Administrative, HR, and Fundraising team meetings.
Working Conditions and Physical Environment
- Will need to work in an office environment with a number of other people, sometimes sharing equipment and space.
Major Duties And Responsibilities
- Responsible for creating electronic files for all employees on L’Arche Arnprior’s shared drive as well as hard copies for employee files and entering / updating information in HR records and on the HR database.
- Supports the Assistants Coordinator (HR Director) in ensuring all new employees receive and are informed about, documentation provided in the onboarding package as part of the hiring process.
- Creates and maintains a schedule for all mandatory training and any / all reviews. Supports the Assistants Coordinator to ensure trainings are done on time and adhere to requirements as per compliance.
- Supports the Finance Team to process payroll.
- Supports the HR and Finance Teams with all HR activities including but not limited to: benefits, payroll, policy review and development, and maintaining personnel records.
- Participates in meetings such as: Assistants Meetings, Retreats, Community Events, regional and national events, etc. as required.
- Seeks out opportunities for personal growth and models life sharing and L’Arche values for all.
- Supports members of leadership and office team with other administrative tasks.
- Supports the House Leaders, Homes Coordinator, and Assistants Coordinator to ensure the homes schedules are developed to meet the needs of core member support, community activities, and are approved and available within the timeframe identified.
- Supports the Fundraising Committee and the Executive Director to ensure the necessary tools and processes are in place, and maintained, to support all fundraising activities.
- Performs administrative tasks as needed, including mailings, document design and filing and general upkeep of the office.
- Communicates the mission and values of L’Arche with donors, supporters, and guests.
- Collaborates with team members to create strategic content for L’Arche Arnprior’s social media platforms.
- Collaborates with team members to foster a welcoming community where each person is celebrated for their contributions.
- Other duties as assigned by supervisor or designate.
Qualifications
- Fluent spoken and written English.
- Superb attention to detail.
- Ability to learn quickly and take direction well; open to learning and growth.
- Strong work ethic, able to work independently while also collaborating with team members on key initiatives.
- Proficiency in Microsoft Suite Office (Word, Excel, Outlook) and experience working with donor database software.
- Experience in graphic design and/or project management an asset.
- Understanding of and alignment with the core values of L'Arche; able to articulate and live the mission of L’Arche.
- Clear police check including vulnerable sector screening
- Ability to admit mistakes and learn; asks for and accept help when needed
- Good administrative skills, organized and demonstrates time management skills
- Ability to problem solve, assist in reaching solutions and obtaining necessary resources
- Valid driver’s license, and excellent driving record.
